Who is responsible?

Requests, appointments and orders

When you get in touch or request a quote or appointment, we process your name, the email address and telephone number you provide, your contact preference, preferred date and time of day, wishes, and where applicable dimensions per room or window. Please do not share sensitive personal data that is not required for your request. We use these details to handle your enquiry, provide advice, prepare a quote, and carry out appointments or an order. The selected day and time of day represent a contact preference, not a confirmed home appointment.

The legal basis is taking steps at your request prior to entering into an agreement and, where an order is placed, the performance of that agreement. We also process invoice and administrative data to comply with legal obligations. Security data, such as limited technical logs and failed access attempts, are used for our legitimate interest in preventing misuse. Website statistics are collected only with consent. Advertising measurement and session recordings are switched off.

Quotes and contact

OZKA sends your quote by e-mail or via the communication channel agreed with you. The website does not offer an online quote portal or online payment. We retain the data needed to handle your request and order.

Which services receive data?

• Cloudflare: delivery and protection of the website; technical connection data. When a request is submitted, Turnstile checks for misuse.
• Render and Supabase: Hosting and database services for your enquiries and the related customer and quote records.
• Resend: sending of request notifications to OZKA and confirmation of receipt to the specified e-mail address.
• PostHog EU: optional website statistics with consent. Measurement data is sent to OZKA’s European PostHog project.
• External channels and reviews: our links to Trustpilot, Google and social media open those external services. When you follow such a link, your browser connects to the relevant party. They process data in accordance with their own privacy policy. You do not need a review or social media account to submit a request via OZKA.

These services explain which data they process, where processing takes place and which safeguards apply in their privacy and data processing terms. A European storage location does not mean that all processing takes place within the European Economic Area (EEA). You can ask us for information about the agreements and safeguards that apply to your data.

Google Calendar: For a contact request, we place your request number, preferred date and time, and chosen contact method in a private OZKA calendar. The calendar does not receive your name, email address, telephone number, or the content of your message via this connection. Customer details remain available in the secure OZKA dashboard. The calendar entry is provisional and relates to your contact preference; it does not confirm a home visit or appointment.

Optional address search via PDOK

You do not need to provide an address when submitting a quote request. You may enter an address manually or search via PDOK from the Kadaster. Only when you type in the address search field does OZKA send your search text via our server to PDOK. After your selection, we retrieve the details of that address. We do not send your name, e-mail address, telephone number, quote contents, cookies, or your browser's IP address along with this. PDOK does receive the search text, the selected address identifier, and technical data from our server connection, such as the outgoing IP address and the timestamp. For this purpose, we do not load Google Maps or any external search software in your browser, and we do not place search cookies. OZKA does not store search queries in the customer database; only the address you submit with your request becomes part of your request. Our hosting providers process connection data as described elsewhere. The retention period of technical search logs at PDOK has not been confirmed by us. Statistics and advertising measurement

Only with your consent do we use PostHog EU for website statistics: public pages visited, referring website, recognised campaign, country, browser and device category. A random browser code connects visits; this does not count identifiable people. Product and contact button clicks and successfully saved enquiries are measured as separate events. We do not send form contents, names, email addresses, phone numbers or free-text search terms. URLs are cleaned; internal tests are marked separately. IP addresses are not stored in PostHog; country information remains approximate. Heatmaps, session recordings and advertising measurement remain off. You can refuse or withdraw consent through ‘Privacy choices’; this stops further measurement and removes the local measurement code. Previously sent events are not automatically deleted. Contact OZKA to request deletion.

Storage and removal

We do not retain data for longer than necessary. A standalone contact or quotation request with no substantive follow-up is reviewed for deletion after twelve months. A closed request without an order is deleted after six months, unless the data are still required for an ongoing complaint, a dispute, or another demonstrable obligation. In the case of an order, we retain the necessary data for fulfilment, service, and applicable statutory record-keeping obligations; we review the necessity periodically. These retention periods do not automatically apply to documents that form part of mandatory record-keeping. Deletion is carried out in a controlled manner and is not a guarantee that all backup copies will disappear immediately. You may ask OZKA which retention period applies to your file.

Cookies and local storage

Via 'Privacy choices' you can decline, select individual categories, or withdraw your consent. Declining will not affect your request. Withdrawing consent stops any further optional measurement; data already submitted will not automatically be deleted as a result. OZKA cannot remove cookies on third-party domains. An active Global Privacy Control or Do Not Track signal will ensure that optional measurement remains disabled.

Security and automated decisions

Access to requests is restricted to authorised staff. We use technical and organisational measures to protect your data. We do not make solely automated decisions with legal consequences for you via this website.

Your rights and queries

You may request access to, correction, deletion, restriction, or transfer of your personal data, or object where applicable. You may withdraw consent at any time without affecting any prior lawful processing. Where necessary, we will verify your identity in an appropriate manner; please do not send a copy of your identity document unless requested. Send your request to info@ozkaraamdecoratie.nl. We respond in principle within one month. If a request requires more time, we will inform you within that month of the reason and the extension. You can also lodge a complaint with the Dutch Data Protection Authority.
